Assistant Office Administrator
Job Summary
To be responsible for undertaking a wide range of secretarial and administrative duties
and the provision of administrative support. Duties will include but are not limited to,
the processing of information (electronic and hard copy) in a timely manner.

Core responsibilities
1. The following are the core responsibilities of the medical administrator. There will
be on occasion, a requirement to carry out other tasks; this will be dependent
upon factors such as office need, workload and staffing levels:
a. Typing letters, reports and associated documentation as required
b. Liaising with external agencies such as medical professionals, hospitals,
insurances and community services, ensuring referrals are processed
efficiently. Manage all enquires in an effective manner.
c. Maintain an accurate database. Input data into the patient’s healthcare
records as necessary. All administration associated with medically insured
patients.
d. Answer incoming phone calls, transferring calls or dealing with the callers
request appropriately
e. Maintain a clean, tidy, effective working area at all times
f. Support all clinical staff with general administrative tasks and receptionist
duties as requested.
Skills
Excellent communication skills (written and oral)
Strong IT skills, competent in the use of Office and Outlook
Clear, polite telephone manners
Effective time management (Planning & Organising)
Ability to work as a team member and autonomously.
Good interpersonal skills, problem solving & analytical skills.
Ability to follow policy and procedure
Personal Qualities Polite, Confident, Flexible, Cooperative, Motivated and
Forward thinker
High levels of integrity, loyalty, sensitive and empathetic in distressing situations
Ability to work under pressure and attention to details.
Qualifications
Educated to GCSE level or equivalent Essential Desirable GCSE Mathematics &
English (C or above)
Experience of administrative duties and working with the general public is
essential
Office hours: 9:00 am to 5:00 pm. Monday - Friday
