Job Summary

The Maintenance Assistant will support the maintenance department by managing inventory, sourcing parts, maintaining records, and ensuring that all necessary supplies and parts are available for vehicle maintenance and repairs. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively with various team members and vendors.

Duties and Responsibilities

• Keep track of inventory levels and ensure timely restocking of parts and supplies
• Conduct regular inventory audits and maintain accurate inventory records
• Source for the best prices and quality of parts
• Generate receipts and ensure accurate documentation for all received parts and supplies
• Maintain and update maintenance files, including records of parts used and service performed on vehicles
• Record daily maintenance activities and services conducted on the vehicle fleet
• Ensure all documentation is accurate, up-to-date, and easily accessible
• Maintain and restock office supplies necessary for the maintenance department's operations
• Monitor supply levels and place orders as needed to ensure the office runs smoothly
• Communicate with vendors to ensure timely delivery of parts and supplies
• Handle any discrepancies or issues with orders and resolve them promptly
• Assist the maintenance team with administrative tasks as needed
• Provide support during maintenance activities, including preparing parts and tools
• Perform other duties as assigned

Qualifications

• High school diploma or equivalent
• Previous experience in a maintenance or inventory
• Strong organizational and time management skills.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Quickbooks
• Ability to work independently and as part of a team.
• Attention to detail and a high degree of accuracy in record-keeping.

Physical Requirements

• Ability to lift and move items up to 50 pounds.
• Ability to stand, walk, and perform manual tasks for extended periods.
